QuickBooks IIF

The QuickBooks IIF interface, formerly named the QuickBooks Windows interface, only allows for the exporting of check requests into an .iif file which is then manually imported into the QuickBooks program. When selecting the QuickBooks IIF interface from the dropdown list on the Check Export tab, the following screen will display showing where the Needles fields will be imported into corresponding QuickBooks fields.

Complete the selection of the following options to further tailor how and where data is exported from Needles.

  1. The Export the Payees By Last Name First? option is already selected by default which will export vendor names to your system in “Last Name, First Name” order. To send the names in First Name, Last Name order, deselect the check box.
  2. The Always Send the Suffix of the Payee option will allow you to always send the suffix regardless of the setting in the Suffix Mini Directory.
  3. If you would like the Needles “Memo” field information or other information to import to the QuickBooks “Memo” field of a check, select the appropriate options. Check Memo selections will appear on the check Memo line in QuickBooks in the order they appear in the list. To change the order, simply select the anchor icon at the beginning of each entry and drag the row item to the desired order.

  1. If you would like the Needles “Memo” field or other information to import to the QuickBooks “Memo” field on the voucher portion of a check, select the appropriate options. Voucher Memo selections will appear on the voucher area of a QuickBooks check in the order they appear in the list. To change the order, simply select the anchor icon at the beginning of each entry and drag the row item to the desired order.
  2. Enter the full path for the name of the file to which Needles will export the data. The export file name for QuickBooks must have an extension of .iif.

If more than one person is exporting checks, you should designate the path of the exported file to their C:\ drive. This will prevent the individual’s export files from being overwritten by another user.

  1. Click on the Debit Account dropdown field to select the name of the account into which you are importing the information. The Debit Account dropdown field is populated from the items you entered into the Debit Account Mini Directory.
